Submitting a Work Order

Submit maintenance requests directly to your property manager along with photos of the  issue. Please Note, if you do not see this task, contact your property manager as this  feature may not be enabled for their account. 

  • Navigate to the Maintenance tab, and select Request Maintenance
  • Enter a detailed description of the issue, upload one or more photos of the item  needing attention (must select multiple photos at once from computer or camera roll).
  • On the next screen, select when a maintenance tech can address your maintenance  issue. If you choose to provide preferred times, select 3 or more time slots, then click Submit.

When is rent due, and how do I pay it?

Due: 1st of each month by 5:00 PM (includes weekends & holidays).

Methods: Money order, cashier’s check, personal check, or tenant portal (extra fees may apply).

How do I report issues when I move in?

Submit Move-In Inspection Form within 14 days of move-in.

Does NOT schedule repairs — request repairs separately by submitting a work order.

How do I submit a work order?

You are required to submit all work orders in writing through the online portal. The online portal can be accessed here: https://www.appfolio.com/help/online-portal On the home page, select “Request Maintenance” and follow the instructions Alternatively, you can select “Maintenance” on the left-hand column, and hit “Request  Maintenance.”

What happens if rent is late?

$40 for each legal notice fee for preparation and mailing (e.g., 5-day notice) if rent is not  received by 5pm on the due date. 

$10 per day late-fee starts immediately after the 1st. 

Returned payment (NSF): $50 + daily late fees. May lose check/online payment privileges. Unpaid after 5-day notice delivered → potential for eviction + up to $475.50 eviction processing fee. 

After the 15th in a delinquent period, only cashier’s check or money order accepted.

How do I provide a move-out Notice? (Notice to Vacate)

On the AppFolio tenant portal, hit “Contact us” from the column on the left-hand side, and select, “Request Notice to Vacate. Alternatively, email your property manager with your notice to vacate. All requests must be in writing.

Can I set up reminders to pay rent?

Yes, you can set up either email reminders or mobile push notifications if you have the Online Portal app on your phone. Navigate to the Account Profile tab of the Online Portal, then in the Contact Preferences block, select what kind of recurring payment reminders you would like to enable, then click Save.

How do I get my security deposit back?

Give 30-day written notice to vacate (see How do I provide a move-out notice above). Provide a forwarding address for us to mail the security deposit.

Return all keys to the office on the day of move-out or before.

Leave property clean and undamaged. The property should be in the same condition as move-in less normal wear and tear.

Provide receipt for professional carpet cleaning (if applicable).

You may attend move-out inspection (request in writing).

The deposit less any tenant-damage will be mailed within the legal timeframe of 14 business days from the move-out date.

How do I view or Download my Lease?

Log into your AppFolio online portal.

Click Property Details from the menu on the left to view or download your online lease documents.

What am I responsible for doing?

Report all appliance issues Immediately 
Report all damage to the property Immediately 
Replace HVAC filters monthly (delivered via program) 
Pay for repairs caused by tenant damage/neglect

Can I make changes to the property?

NO alterations (paint, fixtures, locks, etc.) without written Landlord consent. Submit requests in writing.

Can I sublet or have long-term guests?

NO subletting or assignment without written consent. 
Only listed occupants + temporary guests (≤10 days) allowed. 
Unauthorized occupants → breach of lease.

What if I need to break the lease early?

Military orders only: 30-day notice + official documentation = termination.

All others: Liable for rent through the lease term until the property is re-rented or an alternative agreement is made with the property manager with owner consent. The owner is the only one that can make the final determination.

What if I stay past the lease end?

Auto-converts to month-to-month with +$100 admin fee. 

Rent may increase. 

30-day notice required to end month-to-month.
